Production Board
The Production Board is a Kanban-style view that tracks every paid order through your shop's fulfillment process, from new order to shipped package.
How the Board Works
Access the Production Board from Admin → Production. You will see 8 columns, one per stage. Each order appears as a card showing the order number, customer name, number of items, and the due date (if set).
To move an order between stages, drag the card to the next column, or open the order card and use the Move to Stage button. Moving an order to certain stages triggers automatic customer notifications (see below).
Tip
The 8 Production Stages
Order paid and landed in production. No action taken yet. The order needs to be reviewed and artwork assigned.
➡ Review the order, assign artwork, and move to ART_REVIEW.
Artwork is being prepared or reviewed internally before sending a proof to the customer.
➡ Complete art prep. When a proof is ready to share, upload it (see Proofs guide) and move to PROOF_SENT.
A proof has been sent to the customer and is awaiting their approval.
➡ Wait for customer response. If no response in 48 hours, send a follow-up email using the Remind Customer button.
Customer has approved the proof. Order is cleared to go to press.
➡ Schedule production. Move to IN_PRODUCTION when the job starts printing.
Items are actively being screen printed, embroidered, or otherwise decorated.
➡ Move to QC when decoration is complete.
Quality control inspection — checking for defects, color accuracy, and completeness.
➡ If items pass QC, move to PACKAGED. If defects are found, note them in the order and reprint if necessary.
Order is packed, labeled, and ready for pickup or carrier handoff.
➡ Ship the order and add a tracking number. The system will automatically notify the customer and move the order to FULFILLED.
Order shipped and tracking number added. Customer has been notified.
➡ No further action needed. Monitor for delivery confirmation.
Customer Notifications
SpreeShop sends automatic email notifications to customers at these key stage transitions:
- PROOF_SENT — Customer receives an email with a link to review and approve their artwork proof.
- PROOF_APPROVED — Confirmation email to the customer: "Great news — your proof has been approved and your order is heading to production."
- PACKAGED — No automatic email at this stage, but you can manually send a "heads up, shipping soon" note.
- FULFILLED — Shipment notification email with carrier and tracking number. Sent automatically when you add a tracking number.
Note
Overdue Orders
If an order's due date passes while it is still in an early stage, the card turns red on the board. You can set or edit an order's due date from the order detail view. Overdue orders also appear at the top of the Orders list, sorted by most overdue first.
Printing Production Sheets
From any Kanban column, click the three-dot menu on a card and choose Print Production Sheet. This generates a PDF with all line items, sizes, colors, print areas, and personalization fields for the order — useful for handing to your press operators.
